Microsoft Teams Rooms vs Zoom Rooms: How to Choose

Choosing between Microsoft Teams Rooms and Zoom Rooms is one of the most common questions we get from Quebec businesses equipping their meeting spaces. The good news: both are excellent. The better news: the decision is simpler than the marketing makes it look.
What certified actually means
Certified hardware — from partners like Logitech, Yealink, QSC and Shure — has been tested by Microsoft or Zoom to guarantee the full native experience: one-touch join, calendar integration, reliable firmware updates and supported configurations. Non-certified setups can work, but when they fail, you are the integration engineer. Certification is what turns a pile of good equipment into a room your team trusts.
The case for Microsoft Teams Rooms
If your company runs on Microsoft 365 — Outlook calendars, Teams chat, SharePoint — a Teams Room is the natural extension. Rooms appear directly in Outlook invitations, join is one touch, and IT manages every room from the Teams admin center alongside the rest of the environment.
The case for Zoom Rooms
Zoom Rooms shine in organizations that host many external participants — clients, boards, partners — because Zoom remains the most universally familiar platform for guests. The interface is famously simple, and Zoom's device management is equally centralized.
What if you need both?
You are not locked in. Modern certified rooms support direct guest join and interoperability, so a Teams Room can join a Zoom call and vice versa. For rooms that must handle anything, we also configure BYOD modes: plug in a laptop and the room's camera and audio serve whatever platform is on screen.
The hardware is the easy part
Here is what the comparison articles skip: most bad meeting rooms fail on installation, not platform. Echoing audio from a mic placed next to a fan, a camera aimed into a window, network drops on WiFi instead of wired — no platform fixes those. Whichever ecosystem you choose, professional design, cabling and configuration decide whether the room actually works.
Frequently asked questions
Can we switch platforms later?
Often yes — much certified hardware can be re-provisioned between Teams and Zoom, so a platform change is a configuration project rather than a rebuild.
What about Google Meet?
Google Meet hardware exists and works well, and both Teams and Zoom rooms can join Meet calls through interoperability. If you are a Google Workspace shop, we will design around it.
